What type of information do we collect?
We receive, collect and store any information you enter on our website or provide us in any other way. In addition, we collect the Internet protocol (IP) address used to connect your computer to the Internet; login; e-mail address; password; computer and connection information and purchase history. We may use software tools to measure and collect session information, including page response times, length of visits to certain pages, page interaction information, and methods used to browse away from the page. We also collect personally identifiable information (including name, email, password, communications); payment details (including credit card information), comments, feedback, product reviews, recommendations, and personal profile.
How do we collect information?
When you conduct a transaction on our website, as part of the process, we collect personal information you give us such as your name, address and email address. Your personal information will be used for the specific reasons stated above only. When you are booking an appointment, including a package, this information is collected and stored via the Paperbell website, this software has its own privacy policy and can be read at www.paperbell.com
Why do you collect such personal information?
We collect such Non-personal and Personal Information for the following purposes:

How do we store, use, share and disclose your site visitors' personal information?
Our company is hosted on the Wix.com platform. Wix.com provides us with the online platform that allows us to sell our products and services to you. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall.
All direct payment gateways offered by Wix.com and used by our company adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover. PCI-DSS requirements help ensure the secure handling of credit card information by our store and its service providers. When you click on the find out more information about a potential purchase you will be directed to the Paperbell Website. How do we communicate with our site visitors?
We may contact you to notify you regarding your account, to troubleshoot problems with your account, to resolve a dispute, to collect fees or monies owed, to poll your opinions through surveys or questionnaires, to send updates about our company, or as otherwise necessary to contact you to enforce our User Agreement, applicable national laws, and any agreement we may have with you. For these purposes we may contact you via email, telephone, text messages, and postal mail.

Our commitment to your privacy
Coaching can involve conversations about personal experiences, neurodivergence, wellbeing, relationships, work, education and other areas of your life.
I recognise the trust involved when you choose to share this information with me.
My approach is therefore to collect, record and retain only the information that I genuinely need to provide you with a professional and effective coaching service.
I aim to be transparent about how your information is used, thoughtful about what needs to be recorded and mindful that not everything discussed within a coaching conversation needs to become part of a permanent written record.
Effective from 31 August 2026
This Client Data, Privacy & Confidentiality practice has been formally adopted and is effective from 31 August 2026.
It sets out the standards and procedures that apply to the collection, recording, processing, storage, retention and deletion of client information within my coaching practice from this date onwards.
These procedures will be kept under regular review and updated where necessary to reflect changes within my practice, the technology and services I use, professional guidance and applicable data-protection requirements.
My approach: collect less, protect what I keep
My approach to client information is based upon the principle of data minimisation.
This means that I do not want to create or retain extensive records of your personal life simply because something has been discussed during coaching.
From 31 August 2026, my practice is to:
-
collect only information that is relevant to our coaching relationship;
-
keep coaching records concise and purposeful;
-
avoid retaining unnecessary sensitive personal information;
-
minimise duplication of client information across different systems;
-
write routine coaching notes directly within Paperbell;
-
be transparent about technology used within my coaching practice;
-
not routinely record discovery calls or coaching sessions;
-
not enter identifiable client information into general-purpose generative AI systems;
-
use PLAUD AI only where recording/transcription has been specifically discussed and agreed with the client; and
-
securely delete or minimise information when there is no longer an appropriate reason to retain it.
Information I may collect
Depending upon the coaching service you use and your individual circumstances, I may collect and hold information including:
-
your name and contact details;
-
booking and appointment information;
-
information necessary to administer our coaching relationship;
-
your coaching agreement;
-
information provided through pre-coaching or discovery questionnaires;
-
your coaching goals and the areas you would like to work on;
-
concise coaching session notes;
-
agreed strategies, actions and next steps;
-
relevant correspondence; and
-
payment and administrative records.
Because I specialise in coaching autistic, ADHD and AuDHD adults, you may choose to share information concerning neurodivergence, disability, physical or mental health, emotional wellbeing or other aspects of your life.
You are not expected to disclose more personal information than is reasonably necessary for our coaching work.
Discovery conversations
A discovery conversation provides an opportunity for us to discuss what you are looking for from coaching, answer questions about my approach and consider whether we might be a suitable fit to work together.
From 31 August 2026, discovery conversations will not routinely be recorded or transcribed.
I may make brief written notes where necessary to support the discovery process, but my intention is not to create a detailed permanent record of everything you tell me during the conversation.
If you decide not to proceed with coaching, information collected through the discovery process will be minimised and deleted in accordance with my data-retention procedures, except where limited information needs to be retained for an appropriate administrative, financial, contractual, insurance or legal purpose.
Coaching session notes
My coaching notes exist to support continuity and quality within our work together. They are not intended to provide a word-for-word reconstruction of our conversations.
From 31 August 2026, routine coaching session notes will be written directly into the client's record within Paperbell.
I will aim to avoid creating or retaining additional copies of these notes elsewhere unless there is a specific and appropriate reason for doing so.
My routine coaching records will concentrate upon information such as:
Session focus → significant coaching themes → strategies or interventions explored → agreed actions → areas to revisit.
I will aim to avoid unnecessarily documenting detailed personal disclosures where those details are not required for our continuing coaching relationship.
The fact that something has been discussed during coaching does not automatically mean that it needs to become part of your written coaching record.
Routine coaching notes will not be copied into general-purpose generative AI systems.
Recording and transcription
My default position is that discovery conversations and coaching sessions are not recorded.
Some clients may, however, find a recording, transcript or AI-assisted session summary helpful. This might be because written information is easier to revisit, because memory or information processing can be challenging, or simply because having an accurate record supports their coaching.
Where recording or transcription is being considered, this will be a client choice rather than an automatic part of coaching.
If you choose this option, I will explain the recording and transcription process before any recording begins.
You will be told:
-
that the conversation will be recorded;
-
why recording or transcription is being used;
-
that I use PLAUD AI for this purpose;
-
that PLAUD AI will process the recording to provide transcription and/or AI-assisted outputs;
-
how the resulting information will be used within our coaching work;
-
how it will be handled and stored;
-
when the recording and transcript are expected to be deleted; and
-
what alternative is available if you do not want your session recorded.
Recording will not begin until you are aware that it is taking place and the appropriate agreement has been obtained.
You can decline recording and transcription.
Choosing not to use recording or AI transcription will not affect your ability to access coaching or the quality of the coaching service you receive.
If you prefer not to use this option, I will use my standard approach of making concise written coaching notes directly within Paperbell.
Use of PLAUD AI
Where a client specifically chooses recording and AI-assisted transcription, PLAUD AI is the service I use for this purpose.
The purpose of using PLAUD AI is to support accurate transcription and, where appropriate, the creation of useful session information.
Before using PLAUD AI with you, I will make its proposed use clear and give you the opportunity to choose whether you wish to proceed with this approach.
I will not assume that because you have agreed to coaching you have also agreed to recording or AI-assisted transcription.
Agreement to coaching and agreement to recording/transcription are separate.
If PLAUD AI is used, recordings and transcripts will not be retained indefinitely. They will be managed according to the retention arrangements explained to you and my applicable data-retention procedures.
Clients who do not wish to use PLAUD AI can receive coaching without it.
Artificial intelligence and client information
AI can be a useful professional tool, but its use must not come at the expense of client privacy and confidentiality.
I therefore maintain a clear distinction between:
AI specifically chosen by a client for an agreed coaching purpose, such as PLAUD AI recording/transcription;
and
general-purpose generative AI used within my wider professional work.
From 31 August 2026, I will not enter identifiable client information into general-purpose generative AI systems for purposes such as creating client notes, analysing individual clients or generating client-specific coaching records.
This includes information such as:
-
client names;
-
contact details;
-
identifiable questionnaires;
-
identifiable coaching notes;
-
identifiable correspondence;
-
recordings of client conversations;
-
transcripts of client conversations; and
-
other information from which an individual client could reasonably be identified.
Generative AI may continue to be used within my wider professional practice for purposes that do not require identifiable client information.
Examples may include:
-
developing generic coaching resources;
-
creating educational materials;
-
developing programmes and worksheets;
-
supporting professional writing;
-
generating ideas for coaching exercises;
-
exploring general coaching concepts;
-
supporting research and learning; and
-
assisting with non-client-specific administrative work.
Where professional experience informs generic educational or coaching material, identifiable client information will not be included.
AI will not be used to make decisions about individual clients and does not replace my professional judgement or our coaching relationship.
Sensitive personal information
Some information you choose to share with me may be particularly sensitive.
This may include information relating to physical or mental health, disability or neurodivergence.
I recognise that this information requires particular care.
My approach is to collect sensitive information only where it is relevant and necessary for the purpose for which it is being collected.
I will also consider whether sensitive information discussed during coaching genuinely needs to form part of your ongoing written record rather than automatically documenting everything that has been disclosed.
Data minimisation within questionnaires
I periodically review the questions included within discovery and coaching questionnaires.
My intention is to ask for information because it serves an identifiable purpose within the coaching process rather than collecting information simply because it might potentially be useful.
Where a question involves particularly personal or sensitive information, I will consider whether that information is genuinely necessary.
Clients are not expected to provide extensive personal histories unless that information is relevant to the coaching work they wish to undertake.
Where coaching information is held
Paperbell is my primary client-management system for routine coaching records.
From 31 August 2026, routine coaching notes will be written directly into the client's Paperbell record rather than routinely being created across multiple systems.
Other systems may necessarily process limited information for purposes such as email communication, appointment delivery, payment or other administration.
Where PLAUD AI has specifically been chosen for recording/transcription, information will also be processed through PLAUD for that agreed purpose.
I aim to avoid unnecessary duplication of identifiable client information across different platforms.
Where an external service processes personal information in connection with my practice, I will consider its suitability and data-protection arrangements as part of deciding whether it is appropriate to use.
Further information about the principal systems used within my practice is provided through my Privacy Notice where required.
Data retention
I do not intend to retain personal information indefinitely or simply because it might potentially be useful in the future.
Different categories of information may need to be retained for different periods depending upon why they were collected and any relevant professional, contractual, insurance, financial or legal requirements.
My data-retention procedures cover information including:

enquiries;
-
discovery information;
-
active coaching records;
-
former-client information;
-
financial and transaction information;
-
relevant correspondence;
-
recordings and transcripts where these have been specifically chosen; and
-
requests concerning personal information.
Where information is no longer required, it will be securely deleted, minimised or anonymised as appropriate.
If you decide not to proceed with coaching
There is no obligation to continue into coaching following a discovery conversation.
If you attend a discovery conversation but subsequently decide that you do not wish to proceed, I will not retain detailed discovery information indefinitely simply because you might contact me again in the future.
Information associated with your enquiry will be reviewed and minimised in accordance with my retention procedures.
Limited administrative information may be retained where there is an appropriate reason for doing so.
When our coaching relationship ends
At the end of our coaching relationship, I will review the personal information held within your coaching record.
My intention is that your detailed coaching session notes held within Paperbell will be deleted when they are no longer required following the end of our coaching relationship, subject to any information that I am required or reasonably need to retain for an applicable legal, professional, insurance, contractual, financial or other legitimate purpose.
I will aim to retain only the minimum information necessary after our coaching relationship has ended.
Where information needs to be retained, I will minimise the amount of personal information kept and retain it only for as long as there is an appropriate reason to do so.
Once this review has been completed, I will email you to confirm what has been deleted and explain what minimal information, if any, will continue to be retained and the reason for retaining it.
This means that detailed coaching notes will not simply remain within my systems indefinitely after our work together has finished.
Requests for deletion
You can contact me if you would like personal information that I hold about you to be deleted.
When I receive a deletion request, I will review the information concerned and delete information where appropriate and in accordance with applicable data-protection requirements.
Where particular information needs to be retained, I will minimise what is retained and explain the reason for continued retention where appropriate.
I may retain a minimal administrative record of the fact that a data request was received and how it was addressed where this is necessary for accountability and record-keeping purposes.
Your information rights
UK data-protection law provides individuals with a number of rights concerning their personal information.
Depending upon the circumstances and the basis upon which information is processed, these may include rights relating to:
-
being informed about how your information is used;
-
accessing personal information held about you;
-
correcting inaccurate information;
-
requesting deletion of information;
-
restricting certain processing;
-
objecting to certain processing; and
-
obtaining or transferring certain information.
These rights are subject to applicable legal requirements and do not necessarily apply in every circumstance.
If you have a question or concern about information I hold about you, you are welcome to contact me.
Confidentiality
Information shared within coaching is treated as confidential, subject to the limits of confidentiality explained within my coaching agreement and circumstances in which disclosure may be required or permitted by law.
I will not use identifiable details from your coaching conversations for testimonials, case studies, teaching or training materials, social-media content, articles, research or other published material without an appropriate basis and, where required, your specific permission.
Where examples or general themes from coaching practice inform educational material, reasonable steps will be taken to ensure that individual clients cannot be identified.
Reviewing technology before using it
From 31 August 2026, I will consider the privacy implications of new client-facing technologies before incorporating them into routine coaching practice.
This includes considering:

what information the technology receives;
-
why that information needs to be processed;
-
whether identifiable information is necessary;
-
where information may be stored or processed;
-
whether other organisations process the information;
-
how long information is retained;
-
how information can be deleted; and
-
whether a less intrusive alternative could achieve the same purpose.
Convenience alone will not determine whether technology is appropriate for use with client information.
Ongoing review of my practice
Data protection and confidentiality are ongoing professional responsibilities.
I will periodically review:
-
what client information I collect;
-
why I collect it;
-
where it is stored;
-
who may process it;
-
whether I still need it;
-
how long it should be retained;
-
whether clients are being given sufficient information about its use; and
-
whether there is a more privacy-conscious way of achieving the same purpose.
Where I identify an area in which my procedures could be improved, I will review and amend my practice accordingly.
Questions or concerns about your information
I want clients and prospective clients to feel able to ask questions about how their information is handled.
